KEYTRACS Privacy Policy
Effective September 19, 2026. This policy explains how KEYTRACS collects, uses, discloses, protects and retains information in connection with its website, applications and related services.
1. Scope and roles
This Privacy Policy applies to information processed by KEYTRACS through the KEYTRACS website, mobile or web applications, account administration, billing, support and messaging features. Locksmith companies and technicians using KEYTRACS are responsible for providing any notices and obtaining any permissions required from their own customers. When KEYTRACS processes a locksmith subscriber's customer information solely to provide the service, KEYTRACS acts as a service provider or processor where applicable.
2. Information we may collect
- Account and business information: name, company name, email address, phone number, business contact details, account status and settings.
- Authentication and security information: login information, device or installation identifiers, session information, security events and related access-control records.
- Customer and job information entered by authorized users: customer names, phone numbers, email addresses, service addresses, job notes, appointment information, quotes, invoices and payment status.
- Vehicle and locksmith workflow information: VIN, year, make, model, service details and, when lawfully entered by an authorized locksmith, key-code, PIN, bitting or related professional locksmith data.
- Verification content: photographs or other information captured for lawful job verification where a workflow requires it.
- Billing information: subscription status, transaction identifiers and limited billing metadata. Full payment-card numbers are generally processed by third-party payment processors rather than stored by KEYTRACS.
- Device and technical data: IP address, device/browser information, app version, diagnostic logs, timestamps, usage events and security telemetry.
- Communications and SMS records: support requests, message delivery records, opt-in or consent records, opt-out records and HELP/STOP requests when messaging features are used.
3. Sources of information
Information may come directly from subscribers and their authorized users, from customers during a locksmith service interaction, from devices and browsers, and from service providers that support hosting, authentication, billing, messaging, fraud prevention, security or customer support.
4. How we use information
We use information to provide and secure the KEYTRACS service; authenticate users; operate customer, job, vehicle, quote and invoice workflows; provide requested communications; process subscriptions; prevent fraud and abuse; troubleshoot and improve reliability; comply with legal obligations; enforce our agreements; and protect the rights and safety of users, customers and the service.
5. SMS and mobile information
KEYTRACS may support transactional SMS or MMS messages related to requested locksmith services, such as appointment information, service updates, quotes, invoices, payment confirmations or account/security notices. SMS messages must be sent only after the recipient has provided the level of consent required for the message type and applicable law.
No mobile information will be sold or shared with third parties or affiliates for their own marketing or promotional purposes. SMS opt-in data and consent records will not be sold, rented or disclosed to third parties for their own marketing. We may provide mobile numbers and related message information to communications providers, carriers and subcontractors solely as necessary to deliver requested messages, maintain deliverability, prevent fraud, provide support or comply with law. Such operational processing does not authorize those providers to use the information for their own marketing.
Recipients may opt out of KEYTRACS-enabled SMS messages by replying STOP. For assistance, reply HELP or contact support@keytracs.com. Message and data rates may apply and message frequency varies. Additional messaging terms are available in our SMS Terms.
6. When information may be disclosed
We may disclose information to service providers and processors that perform services on our behalf, such as cloud hosting, authentication, database services, payment processing, communications delivery, security, analytics or support. We may also disclose information when reasonably necessary to comply with law, legal process or valid governmental requests; protect users, customers or the public; investigate fraud or security incidents; enforce agreements; or complete a corporate transaction subject to applicable legal safeguards.
KEYTRACS does not authorize service providers to use customer information for their own unrelated marketing purposes.
7. Sale and sharing of personal information
KEYTRACS does not sell personal information for money or other valuable consideration and does not share personal information for cross-context behavioral advertising. If our practices materially change, we will provide any notice and opt-out mechanism required by applicable law before engaging in such activity.
8. Data retention
We retain information only for as long as reasonably necessary for the purposes described in this policy, including to provide the service, preserve legitimate locksmith and transaction records, maintain security and fraud-prevention records, resolve disputes, enforce agreements and satisfy legal obligations. Retention periods vary by data type, user instructions and legal requirements. Information may be deleted or de-identified when it is no longer reasonably necessary, subject to lawful retention exceptions.
9. Security
KEYTRACS uses administrative, technical and organizational safeguards designed to protect information, including authentication and account-access controls. No system or transmission method can be guaranteed completely secure. Users are responsible for safeguarding devices, credentials and access methods and for promptly reporting suspected unauthorized access.
10. California privacy notice
California residents may have rights under the California Consumer Privacy Act, as amended, including rights to request access to categories and specific pieces of personal information, request correction, request deletion, receive certain information in a portable format, and receive information about disclosures. California law also provides rights relating to sale or sharing of personal information and certain uses of sensitive personal information. Because KEYTRACS does not sell personal information or share it for cross-context behavioral advertising, there is no sale/share to opt out of under our current practices.
To exercise an applicable privacy right, contact support@keytracs.com. We may need to verify your identity and authority before completing a request. Authorized agents may submit requests where permitted by law. We will not unlawfully discriminate against a person for exercising a privacy right.
11. Subscriber responsibilities for customer data
Locksmith subscribers decide what customer and job information to enter into KEYTRACS and are responsible for having a lawful basis to collect and use it. Subscribers must limit collection to information reasonably necessary for legitimate locksmith services and must comply with applicable privacy, consumer-protection, licensing, recordkeeping and communications laws.
12. Cookies, browser signals and website technologies
Our website and service may use cookies, local storage, server logs or similar technologies that are reasonably necessary for security, authentication, preferences, performance and service operation. We do not use these technologies to sell personal information or share it for cross-context behavioral advertising. Where applicable law requires recognition of a legally valid browser-based opt-out preference signal, such as Global Privacy Control, KEYTRACS will process that signal as required for the browser or device sending it. Because there is no universal standard for other “Do Not Track” signals, the website may not respond to every DNT setting.
13. Children's privacy
KEYTRACS is a professional business service and is not directed to children under 13. We do not knowingly seek to collect personal information directly from children under 13 through the KEYTRACS service.
14. Third-party services
KEYTRACS may use third-party service providers, which may include payment processors, cloud/database providers and communications providers such as Twilio. Their processing of information on our behalf is governed by applicable contracts and their own legal obligations. Links to third-party websites or services are governed by those third parties' policies.
15. Vehicle makes, models and trademarks
Vehicle manufacturer names, makes, models, logos, product names and other third-party trademarks referenced by KEYTRACS are the property of their respective owners. References to makes and models are used for identification, compatibility and workflow purposes. Unless expressly stated, no reference implies sponsorship, affiliation or endorsement by a vehicle manufacturer or other trademark owner.
16. Changes to this policy
We may update this Privacy Policy as our services, vendors or legal obligations change. We will post the revised policy with a new effective date and provide additional notice when required by law.
17. Contact
Privacy questions and requests may be sent to support@keytracs.com.
Legal notice: This policy describes KEYTRACS's current operating practices and is not a substitute for legal advice. Nothing in this policy limits rights that cannot lawfully be waived or restricted.
